Incoming e-invoices posted
An incoming e-invoice you accept is posted to the general ledger automatically, as a purchase.
When you accept an incoming e-invoice in ProBooks, it is now posted to the general ledger automatically as a purchase. The posting is done in the same way as a purchase you finalise by hand. The change is for businesses that receive electronic invoices from suppliers, and for accountants who until now had to reopen each invoice to enter it into the books a second time.
The flow is simple. The supplier’s e-invoice arrives in the list of incoming invoices. You open it, check it and, if it is correct, accept it. At that moment ProBooks posts it to the general ledger as a purchase, using the same logic as when a purchase is finalised by hand. There is no need to create a new purchase document or to type the amounts again.
Entering the same invoice twice is a common source of errors: an amount is mistyped, an invoice is left out of the books or posted twice. When acceptance and posting are a single step, those risks go down and time is saved on every invoice. Purchases from e-invoices are also treated exactly like those entered by hand, so the books stay consistent.
If you receive many supplier invoices and want to see this flow with an example, ask us for a demo. We will show you the list of incoming invoices, what happens after you accept one and where you find the posting in the general ledger. For questions about your own setup, write to us directly.
